This policy applies to information collected through the Physician Pathways Group website and eligibility assessment form. It does not apply to third-party websites linked from this site.

Information We Collect

We collect information in two ways: directly from you when you submit the eligibility assessment form, and automatically through our website infrastructure.

Information you provide directly through the eligibility assessment form includes:

• Name and contact information (email address, country of residence)
• Medical education and training history (medical school, graduation year, postgraduate training)
• Clinical experience and specialty
• USMLE and ECFMG status
• Foreign medical license status
• Immigration status
• Criminal history disclosures as required by the eligibility assessment
• Geographic and employer preferences
• Any other information you voluntarily provide in open-text fields

Information collected automatically. This website is hosted on Netlify and uses Cloudflare for DNS and performance services. Cloudflare Web Analytics collects aggregated, privacy-preserving data about site visits — including page views, referral sources, and general geographic regions — without using cookies or tracking individual users across sites. No personally identifiable information is collected through Cloudflare Analytics.

Netlify may log basic server-side request data (such as IP addresses and browser type) as part of standard hosting operations. We do not use this data for marketing or tracking purposes.

How We Use Your Information

We use the information you submit through the eligibility assessment form solely to:

• Evaluate whether you may be eligible for the ITPE licensure pathway
• Communicate with you about your assessment and, if accepted, your case
• Match you with partner employers as part of our placement process
• Manage our professional relationship with you if you become a client
• Comply with applicable legal obligations

We do not use your information for marketing to third parties, sell your information, or use it for any purpose unrelated to the services described on this site.

Sensitive Information

The eligibility assessment collects certain categories of sensitive information, including immigration status and criminal history disclosures. This information is required because it is directly relevant to pathway eligibility under North Carolina law and NC Medical Board requirements. It is used only to evaluate your case and, if you become a client, to prepare your application.

We take reasonable precautions to protect this information and limit access to it within our organization to those with a need to know.

When We Share Information

We do not sell or rent your personal information. We may share your information only in the following circumstances:

• With your consent. If you become a client, we will share relevant information with our partner employers as part of matching you to a position, with a supervising physician if your placement is at a qualifying rural practice, and with the NC Medical Board as required to advance your case — always with your knowledge and as part of the services you have engaged us to provide.
• Credential verification providers. If your case proceeds to credentialing, we coordinate your engagement with third-party primary-source verification and background screening providers (such as ECFMG's EPIC service and employment/background check services). You engage and pay these providers directly for their services; we share only the information necessary to initiate that verification.
• Service providers. We use third-party services to operate this website and receive form submissions (including email). These providers receive only the information necessary to perform their functions and are not authorized to use it for other purposes.
• Legal requirements. We may disclose information if required to do so by law or in response to a valid legal process.

How Long We Keep Your Information

If your assessment does not result in an accepted case, we retain your submission for a reasonable period (generally no longer than two years) in case you reapply or follow up, after which it is deleted.

If you become a client, we retain your information for the duration of our engagement and for a reasonable period thereafter consistent with professional recordkeeping obligations.

Your Rights and Choices

You may contact us at any time to:

• Request access to the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your information, subject to any legal or professional obligations that require us to retain it

To make any of these requests, contact us using the information below. We will respond within a reasonable time.

Security

We take reasonable steps to protect the information you submit from unauthorized access or disclosure. This site uses HTTPS encryption for all connections. Form submissions are transmitted by email to a secured inbox with access limited to authorized personnel.

No method of electronic transmission is completely secure. We cannot guarantee absolute security, but we treat the protection of your information as a serious obligation.

We may update this policy from time to time. When we do, we will revise the effective date at the top of this page. We encourage you to review this policy periodically. Continued use of this website after any update constitutes acceptance of the revised policy.
